EVENT PLANNER APPLICATION

We are currently hiring an Event Planner to work under the supervision of and in partnership with the Head Event Planner, Tori Williams.

 

Job Objective:

​

The Event Planner will lead and manage all pre-production and set up and breakdown of assigned events under the supervision of and in partnership with the Head Event Planner, Production Lead and Creative Team. This person will gain experiential knowledge of the event planning business and acquire valuable insight on how the Tori Williams Event team continues to lead the industry with stellar customer service, event management and vendor relations.

Daily internship responsibilities include but are not limited to:

  • Creates and updates all production-related documents including design notes, site visit notes, floor plans, production schedule, call list, transportation schedule, inventory requests, staffing plan and schedule and all other printed materials used in production

  • Coordinates all facets of design presentations including the creation of PowerPoint Presentations, rental orders, décor purchases, and budget sheets

  • Sources venues, décor, linens, entertainment, stationery, etc. and obtains pricing and availability for all items

  • Places orders with vendors and companies for any rentals and/or services

  • Vendor Management: Obtains Vendor Referral Fees, Certificates of Insurance and NDA Agreements

  • Interprets the vision of Creative Director as tangible design and décor while ensuring this vision fits within budget, venue and production timeline

  • Creates and submits appropriate documents when necessary to ensure compliance with applicable regulations and laws

  • Manages onsite set up, build, and break down of events; oversees all aspects of the venue, on-site vendors, and production staff

  • Oversees all administrative tasks pertaining to assigned events: schedules and attends design meetings, vendor meetings, site visits, negotiates contracts, submits all debits, purchase orders, and check requests in a timely manner

  • Trains and supervises interns and production assistants required for events

  • Collects all final invoices from vendors and assists the CFO with event budget reconciliations following each event

  • Participates in post-event evaluations to determine how future events could be improved

  • First on site/ last on site – or responsible for person(s) designated to be first/last on site

  • Setting up and breaking down of Events and Design Presentations

Requirements:

  • A minimum of one to three years of experience in event planning

  • A positive “can do” attitude

  • Excellent customer service skills

  • People person

  • Strong oral and written communication skills

  • Strong organization, project/time and budget management skills

  • Knowledge of business and management principles involved in planning, resource allocation, production methods, and coordination of people and resources

  • Ability to work under pressure deadlines and prioritize multiple projects

  • Self-motivated and results oriented

  • Ability to work independently with some supervision

  • Strong attention to detail

  • Possesses high work motivation, commitment, follow through, initiative and achievement

  • Available to work days, nights and weekends.
